Rental Terms & Conditions

These terms apply when you book a travel trailer offered through Calypte RV Rentals ("we," "us," or "platform") at calypterv.com. By requesting or completing a booking, you agree to these terms. These terms may be updated from time to time. Material changes will be posted at least 30 days before taking effect. Your continued use of the platform constitutes acceptance of any updated terms.

1. How our rentals work

Calypte RV Rentals operates a delivery-only model. The owner delivers the trailer to your chosen campsite, sets it up, and retrieves it at the end of your rental. Renters do not drive, tow, or transport the trailer at any time. This means you are renting access to a stationary accommodation unit — not a vehicle.

Where the platform also lists trailers owned by third-party owners, those listings will clearly state their own delivery and pickup policies. Third-party owners are independent operators and are solely responsible for their own equipment, delivery, setup, and compliance with applicable laws and insurance requirements.

2. Eligibility

You must be at least 25 years of age to book through this platform. By completing a booking you confirm that you meet this requirement. We reserve the right to cancel any booking where this requirement is not met, with no obligation to refund beyond what the applicable cancellation policy allows.

You must provide accurate personal information at the time of booking. Providing false information — including age, identity, or intended use — is grounds for immediate cancellation and forfeiture of any amounts paid.

3. Booking and payment

You submit trip dates and details through our website. For instant-book listings, payment may be collected at checkout. For request-based bookings, the owner may approve or decline your request. When a booking is confirmed, you authorize payment of the rental total (nights, cleaning fee, and any delivery fee shown at checkout) according to the listing and checkout flow. All amounts are processed by our payment provider; we do not store your full card number on our servers.

4. Security deposit hold and release

A separate security deposit may be authorized (held) on your payment method at or after booking. The hold is not an extra rental charge if no damage or contract breach occurs. We intend to release the hold after the post-trip condition process is completed and neither party reports damage requiring deduction. Timing of release can depend on your bank or card issuer. If damage or loss is documented according to our process, we may capture part or all of the deposit as permitted by law and these terms.

5. Cancellation policy tiers

Each listing shows a cancellation policy tier: flexible, moderate, or strict. The tier controls how much of your rental fee may be refunded if you cancel, depending on how far in advance you cancel. Refund rules are displayed before you book. The security deposit hold is separate: if you cancel before pickup, we do not intend to keep the deposit as a rental charge; release timing still follows your bank and any open dispute. 6. Renter responsibilities

  • No smoking inside the trailer under any circumstances.
  • Pets only if the listing explicitly permits them.
  • No subletting — you may not allow any person not named in the booking to stay in the trailer overnight without prior written consent from the owner.
  • No moving the trailer — the trailer must remain at the agreed campsite for the duration of the rental. You must not attempt to move, hitch, or relocate it.
  • Be available for pickup at the agreed checkout date and time so the owner can retrieve the trailer without delay.
  • Treat the trailer and its contents with reasonable care, follow any owner instructions provided at setup, and comply with campground rules and applicable BC laws.

7. Insurance and liability

Owner insurance: The owner carries liability insurance on the trailer through ICBC. This covers the owner's liability while transporting, setting up, and retrieving the trailer. Renters are not covered as operators because they do not operate the trailer.

Renter's own coverage: While you are staying in the trailer, you are responsible for your own personal liability and any damage to your personal belongings. We strongly recommend that you confirm your existing home, tenant, or travel insurance covers you while staying in a rented accommodation. We do not provide or arrange insurance for renters.

Third-party owner listings: Where a listing is provided by an independent owner, that owner is solely responsible for ensuring their trailer is properly insured for rental use. Calypte RV Rentals makes no warranty as to the adequacy of any third-party owner's insurance and is not liable for any gap in coverage.

Disclaimer: Nothing in this section constitutes insurance advice. We strongly recommend speaking with your own insurance broker before your rental.

8. Wear and tear vs. damage

Normal wear and tear — minor scuffs, light cleaning required, small marks consistent with reasonable use — is not chargeable to the renter and will not result in a deposit deduction. Damage means a material change from the pre-trip condition caused during the rental, including but not limited to broken fixtures, torn upholstery, burns, water damage from misuse, or missing items. The pre-trip and post-trip condition reports (including photos) are the primary evidence used to distinguish wear from damage. Disputes without photographic evidence on both sides are resolved in favour of the renter for any ambiguous items.

9. Owner right to cancel for safety

We may cancel or refuse a booking if we reasonably believe the trip would be unsafe, illegal, or impossible to fulfill (for example severe weather, road closures, mechanical issue, or failure to meet age or license requirements). If we cancel for these reasons, we will work with you in good faith on any refund or reschedule permitted by the cancellation tier and payment rules in effect at the time.

10. Condition reports and disputes

Pre-trip and post-trip condition reports (including photos you and we submit) are the primary record of the RV's condition for damage disputes. You agree to complete your part of reporting honestly and within the timelines we communicate in the app. If parties disagree, we will use those records, together with messages in the platform, to resolve issues fairly; nothing in these terms guarantees a particular outcome in every dispute.

11. Prohibited conduct

You agree not to:

  • Provide false information during registration or booking.
  • Use the platform to arrange rentals outside of it to avoid platform fees.
  • Use the trailer for any illegal purpose or in violation of campground rules.
  • Attempt to access, copy, or misuse any data from the platform.

We reserve the right to suspend or terminate any account and cancel any booking where these rules are violated, with no obligation to refund beyond what the cancellation policy allows.

12. Limitation of liability

To the fullest extent permitted by applicable law in British Columbia, Calypte RV Rentals is not responsible for: conditions at third-party campgrounds or public lands (including roads, sites, hookups, or amenities); accidents, injury, or property damage that occur during your rental except where caused by our proven gross negligence or willful misconduct; or indirect or consequential damages. You are responsible for maintaining appropriate personal liability coverage for your stay.

13. Governing law

These terms are governed by the laws of the Province of British Columbia and the federal laws of Canada that apply in BC. You agree to the exclusive jurisdiction of the courts of British Columbia for disputes that belong in court, subject to mandatory consumer protection rules that cannot be waived.
